The Welsh Local Government Association (WLGA) represents the interests of local government and promotes local democracy in Wales. Its primary purposes are to promote better local government, to promote its reputation and to support authorities in the development of policies and priorities which will improve public services and democracy.
The WLGA collects and uses personal information about staff and individuals as part of services that it delivers through its cross-party decision-making arrangements and support.
WLGA as a data controller has a duty to inform individuals about the information that it holds. This Privacy Notice should summarise why it is held and any other parties to whom this may be passed on to. We obtain your personal data from sources including:
- public websites
- data provided by you in an application / request for training form
- professional networks you are involved with and which we support
- applications for employment
- e-mails you may send us

We may use your personal information for one or more of the following purposes:

- for statistical and reference purposes
- to comply with our legal obligations
- to address queries from you and to respond to any actual or potential disputes concerning you

What is our lawful basis for processing your personal data?
WLGA holds personal data about you in its capacity as data controller.
The legal basis for our use of your personal data will generally be one or more of the following:
- we need to process your personal data to satisfy our legal obligations
- we need to process your personal data to carry out a task in the public interest or in the exercise of official authority in our capacity as a public body; [and/or]
- because we need to process your personal data to meet our contractual obligations to you
- processing is necessary in order to protect the vital interests of the data subject or of another natural person

We may share your personal data with external organisations we work with. These may include:
- Welsh Government to aid with the dissemination of information
- Data Cymru to assist with statistical / research goals as well as internal processes such as payment of expenses
- Cardiff Council for payroll functions
- the Local Government Association when we are running training on their behalf for their statistical information
- other Local Authorities where they are the appropriate body to provide support
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - You have the right to ask us for copies of your personal information
- Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete
- Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances
- Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances
- Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances
- Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
